3.4 Update Notes

We are excited to announce the latest update to TrackitHub, bringing significant improvements and new features to enhance your event management experience. This update focuses on refining the event registration process, enhancing payment options, and providing more administrative control and convenience.
Bug Fixes
- Event Capacity Counter: The capacity counter now accurately calculates attendees, excluding users on the waiting list from the maximum capacity count.
- Event Registration and Payment: Users are now required to complete payment when registering for paid events. The user’s registration will not be confirmed if the payment module is closed before completing the payment.
- Email Notifications for Event Registration Actions: Every action related to event registration will now trigger an email notification for better communication and record-keeping.
Feature Improvements
- Manual Confirmation Overriding Fee: Admins manually confirming a user for a fee-based event will override the fee requirement.
- Notes Feature for Attendees: A new “Notes” icon next to each user in the attendee list allows admins to take notes, which is particularly useful for tracking payments made via cash or check after manually confirming a user.
- Green Font for Paid Amounts: Amounts paid for fee-based events confirmed manually will be displayed in green font for easy visibility.
- Integrated PayPal Payment Module: The PayPal payment module is now integrated within TrackitHub, eliminating the need to redirect users outside the platform.
- Waiting List Payment Policy: Users on the waiting list are only required to pay once they are moved to the attendee list.
- Prompt for Payment Balance: Users moved from the waiting list to the attendee list for a fee-based event will be prompted to “Pay Balance” upon opening the event.
- Attend Button Enhancement: The “Decline” button has been removed, and the “Attend” button has been enlarged for a better user interface.
- Improved Cancellation Handling: Attendees canceling their registration will no longer show in the list with a red X but instead will be automatically removed from the attendee list altogether.
- Notification for Event Removal: Users will receive an email notification that an event has been removed from their calendar if the admin deletes them from the invitee list.
- New Member Invitation Notifications: Admins will receive notifications indicating the count of new users added to the invitee list when the same group is invited multiple times to an event.
- Capacity Limit Alert for Manually Confirmed Users: Admins will be alerted when the number of manually confirmed new users surpasses the event's capacity limit. Users are added to the attendee list until this limit is reached.
- Enhanced Auto-login Links in Emails: Added more auto-login links in emails for easier event access.
- Email Notifications for Fee-Based Event Movement: Both the user and event creator will receive emails when a user is moved from the waiting list to the attendee list for a fee-based event, emphasizing the importance of prompt payment. Emails for the user and event admin are shown below.
User Email:
"You're now on the attendee list for the event: [Event Name] on [Date] at [Time]. Please make the required payment to confirm your attendance. The event admin is aware and will keep track of your payment timeline. If there's a delay, the admin may remove you, allowing the next player on the waitlist to join."
Admin Email:
"[Player Name] has been moved from the waitlist to the attendee list for the fee-based event: [Event Name] on [Date] at [Time].
As the admin of the event, please monitor the player's payment status closely. If there is a delay in their payment of the registration fee, please take the necessary steps to remove them from the attendee list, providing an opportunity for other players on the waitlist to participate."
